Events
Events offers the ability to combine the results from Trials over several days in several ways:
- Event Report: Count Roll Calls, Best of Breeds and Total Prelim/Final Combined Points.
- Populate Winners: If this is a stand-alone event (a new trial, created just for this Event, where no hounds have been previously entered or scored), use this option to "Pull In" all of the Best of Breed winners from the associated trials into the Open stake of this trial. Using this option will NOT clear out any current entries. You can optionally include the Next Best which is the next highest combined scoring hound over the set of associated trials.
- Event Catalog: A set of catalog pages containing all of the running hounds generated over all of the associated Trials
- Special Stakes: Pair hounds running in the associated trials into Breeder Stake and Kennel Stake and enter hounds into Dual Champion and Veteran stakes. Scores will the sum of all Prelim and Final scores over all of the associated trials.
Create a New Trial?
Before flagging a Trial as an Event, you should determine if you need this to be a separate trial.
You need a separate Trial if:
- You plan on running Best Of courses (AKC National Championship Best of Breed run-offs)
- You plan on running Best in Event (Use the BOB checkbox on applicable hounds and pull up the Best in Field Scoresheet)
If you need a new trial, create a new trial just for this event, check Is Event? on the General Info tab and do not enter any hounds into the trial the normal way. You will populate the entries using the button after the end of the last trial. You can enter braces and hounds into the Special Stakes ahead of time.
You do not need a separate Trial if:
- You are only looking to use the Special Stakes functionality over the course of a weekend or a single day
- You are only looking to generate an Event Catalog
- You are only going to look at the Event Report for combined scores over the course of several trials
If you determine that you do not need a separate trial, you can check Is Event? on the last trial of the series. You will populate the sub-trials datasheets with all of the trials included in the event, including the trial you're marking as the event. If it's a three-day event, you will have three trials listed in the datasheet. You may enter hounds into the Special Stakes ahead of time.
Make sure to never press Populate Winners or the Clear All Entries buttons if this is not a separate trial.
Enable Event
On the General Info tab of the Trial Info form, you will find the Is Event? checkbox. Check this box to enable event-level functionality.
When checked, you'll see two new tabs visible:
- Event: Here, you will associate all of the sub-trials which are associated with this event
- Special Stakes: This is where hounds are entered in Special Stakes and the reports generated
On the Event tab, use the dropdown in the datasheet to associate all of the trials combined into this event. If you do not have a separate trial just for the event, make sure to self-include the trial you're using as the event as well.
Event Report
This report will display all of the hounds entered in the associated trials.
Results columns are:
- RCs: Number of Roll-Calls over the associated trials
- BOBs: Number of Best of Breed wins over the associated trials
- Score: Total combined Prelim and Final scores over the associated trials
Results will be ordered by: Roll Calls -> Best of Breed Wins -> Score
This report is an excellent second-check for when you Populate Winners and wants to make sure everyone was appropriately included.
You can also use this report for Turtle Prizes.
Event Catalog
This report will generate catalog pages all of the hounds entered in the associated trials grouped by Breed - Stake and in alphabetical order by Call Name.
Catalog pages may be printed or exported to PDF, Word or Excel formats for inclusion in catalog files.
Populate Winners
- Pull all of the Best of Breed winners from the associated trials into the current trial
- Optionally the Next Best hound using the Include Next Best Checkbox
- All hounds will be placed into the Open stake
- Additional hounds may be entered into the trial using the traditional method, but should be entered in Open
- Use Execute Prelim Draw to draw the hounds into stakes
- Four Judges: Use PJ1: Judge 1, PJ2: Judge 2, FJ1: Judge 3, FJ2: Judge 4. Scores will be added, run-offs calculated and placements assigned.
- Check the BOB for each winner
- Use the BIF Scoresheet on the Commands tab as the Best in Event scoresheet. The draw for Best in Event will have to be done manually on paper.
Special Stakes
On this tab, you can enter any of the hounds entered in any of the associated trials into the four special stakes. Using the drop-down, select which stake you would like to work with:
- Breeder: Breeder Stake. Pair of hounds for each entry.
- Kennel: Kennel Stake. Pair of hounds for each entry.
- DC: Dual-Champion stake. Single hound entries.
- Veteran: Veterans stake. When working with Veterans, a special Populate Veterans button will appear. Using that button, your veterans will auto-populate based on the DOB for each hound and the veteran age for that hound's breed. The Veteran Age can be found on the Breeds form at the top, and under the Venue Specific Breed Data subform for that venue.
Special Stakes Report
After the last of the associated trials has finished, you can run convenient reports for each of the Special Stakes. Using the drop-down on the Special Stakes tab, choose which of the special stakes you would like to run the report on. Each report will contain the following information:
- Report Type
- Breed
- Dog1
- Dog2: Optional depending on stake
- Combined Prelim and Final scores per trial
- Total combined score over all associated trials
